Travel Policy and Procedures
All travel to be reimbursed by the Club shall be pre-approved with submission of a tentative budget to the Board or, when time is critical, by the President.
· Out of town transportation by private to club, district, Interact or other meetings when representing Mt. Shasta Rotary will be reimbursed at ½ of the current federal rate for the total round-trip miles.
· If an overnight stay is reasonable due to the length of time away and/or road conditions, it is an allowable expense subject to approval by the President.
· Registration fees for approved Rotary events; e.g. District conference, trainings shall be reimbursed.
· Travel out of the country when representing Rotary Club of Mt. Shasta shall be reimbursed up to an agreed upon amount when approved by the Board prior to the travel. Members planning to request such reimbursement should be prepared to submit a plan including the purpose of the travel and a proposed budget prior to requesting approval.
